Picture this: on the first of every month, your technician's phone buzzes with "Monthly Elevator Inspection - Elevator W1". They ride the car, test the door sensor, check leveling at each floor, press the emergency phone and time the doors. Anything that fails is flagged before a resident gets stuck, and the elevator contractor sees exactly what was found.

The free elevator maintenance checklist

Your elevator contractor handles the technical servicing and the annual inspection is done by a licensed inspector. This monthly in-house check catches problems between those visits. Adjust it to your lifts and local rules.

Monthly in-house check

  • Doors open, close and re-open when the edge sensor or light curtain is blocked
  • Car stops level with each floor, with no trip edge
  • Emergency phone and alarm button connect
  • Car lighting, fan and floor indicator working
  • Hall call buttons and lanterns working on every floor
  • Machine room clean, locked and free of oil leaks
  • Door close time (seconds), so you can spot doors getting slower
  • Notes for the elevator contractor

Every year

  • Annual inspection by a licensed elevator inspector; keep the certificate
  • Contractor service visit per your maintenance contract
  • Review the lift's work order history for repeat faults

Before and after

Without a system, monthly elevator checks depend on one person remembering, and the notes from the last contractor visit are in someone's email. When the doors start faulting on floor 2, nobody can see whether it happened last month too.

With MaintainNow, the monthly check creates itself, the technician fills it in on a phone, and every result sits on the lift's record next to the annual inspection and every repair request.

1. Build the elevator checklist

In Checklist Templates, add one step per check. Use Inspection Check for pass/fail items (the technician picks PASS, FAIL or FLAG), Number for the door close time and Short Answer (Text) for notes to the contractor.

2. Schedule it every month

In Maintenance Plans, click Add Plan, set Repeat On to Monthly and pick the day. Create WO in Advance sets how many days early the work order appears. On the other tabs, choose the lift, attach the checklist and assign a technician.

The technician gets a push notification and an email when each month's work order is created. A new one is only created after the previous one is completed, so missed checks never pile up as duplicates.

3. Complete it in the elevator

The technician opens the work order in the MaintainNow mobile app, works through the checklist and saves it. When they complete the work order, the checklist locks so the results stay as recorded.

4. See every lift's plans and history together

Open the lift under Assets and go to Maintenance Plans: the annual inspection and the monthly check are listed with their next due dates, and completed work is below. The Work Orders and Work Requests tabs show every repair and every problem reported for this lift.

Questions people ask

How often should elevators be inspected?

A licensed inspector usually inspects each elevator once a year, and your contractor services it on the schedule in your contract. Many buildings also do a short monthly in-house check like the one above. Check your local code for the exact rules.

Can MaintainNow schedule elevator maintenance automatically?

Yes. Create a maintenance plan for each lift (monthly, yearly or both), attach a checklist and assign someone. MaintainNow creates the work order on schedule and notifies them.

Can residents report an elevator problem?

Yes. Print the lift's QR code from Request Portal and post it in the car or lobby. Anyone can scan it and report a fault without logging in. See collect maintenance requests with a QR code.

Can I see the full maintenance history of one elevator?

Yes. Each asset keeps its work orders, PM work orders, maintenance plans, work requests, parts used, downtime and failure history. Technicians can also scan the asset's QR code in the mobile app to open it. See track equipment maintenance history with QR codes.
